- Confirm the product is proven. Bulk multiplies what you already know. If it has not sold in small quantities, a container will not fix that.
- Set the budget on landed cost, not unit price. The real number includes goods, freight, duty, inspection and cash sitting in transit.

- Request and approve samples. Order from your final two, compare side by side, then keep the approved one sealed and labelled as your reference.
- Agree the written specification. Materials, dimensions, weight, colour references, packaging, carton markings, labelling. Written and signed by both sides.
- Agree payment terms tied to inspection. The balance falls due after goods are inspected, not after the supplier says they are ready. There are safe ways to pay Chinese suppliers, and the structure matters more than the method.
- Place the order and confirm the timeline in writing. Production start, completion, inspection window, ship date. Vague lead times become late shipments.
- Follow production. Ask for photos at material stage and mid production. Four weeks of silence means you find out late.
- Inspect before the balance is paid. The one step that cannot be rescheduled. Once the balance clears, defects are yours to argue about.
- Consolidate and ship. Confirm which Incoterm applies, who books freight and who clears customs at your end.
Three decisions to lock before any money moves
Three things decide the outcome. The specification, because everything later is measured against it. The payment terms, because they set who carries risk at each stage. The inspection plan, because it is the only step that catches a problem while you still hold money. Lock those three and a first bulk order from China becomes routine admin.
