Most buyers ask about price first and legitimacy second. That order costs money. Learning how to verify a Chinese supplier before you send a deposit is the cheapest risk control in importing, and almost every useful check is free. This guide gives seven checks you can run yourself before any money moves.
The honest answer: verification is documents plus behaviour
A supplier is not verified because the website looks professional or a platform shows a badge. Verification means two things: the paperwork matches reality, and the people behave consistently when tested. Documents can be edited. Behaviour under specific questioning is harder to fake. Proper due diligence uses both. We are not repeating warning signs here: our guide to red flags when sourcing from China already covers those. This is the positive list, what a real supplier can prove.
How to verify a Chinese supplier: 7 checks you can run for free
All seven cost nothing but time. The table shows what each proves, and where the free checks stop.
| Check | Free or paid | What it proves |
|---|---|---|
| Business licence | Free | Registration, and a name matching the contract |
| Unified Social Credit Code | Free | One company, one code, on file in writing |
| Video call of the premises | Free | The building and the signage exist |
| Walkthrough video of the line | Free | Production in your category is running today |
| Company name plus “scam” search | Free | Public complaints against the name or email domain |
| Bank account name | Free | Payment goes to the company, not to a person |
| Technical questions | Free | A factory, or a reseller describing one |
| Factory audit on site | Paid | Real capacity, verifiable certifications and site conditions |
Checks 1 and 2: the paperwork that has to match
- Ask for the business licence. Every registered Chinese company has one, and a real factory or trading company sends a photo without hesitation. Read the company name on it. It should match the name on the quotation, the contract and the website.
- Check the Unified Social Credit Code. This is the 18 character code printed on the licence, the Chinese equivalent of a company registration number. One company, one code. Ask for it in writing and keep it on file. If the code on the licence and the one on the contract differ by a character, they are different companies.
Checks 3 and 4: eyes on the building and the line
- Video call the premises. Not a chat, a live video call. Ask them to walk outside and show the building and the signage. A real supplier does this in five minutes. Excuses here tell you a lot.
- Request a walkthrough video of the line. Ask for a short, unedited video of the production line running your product category, filmed that day. Catalogue photos are not evidence. Asking for the date to be said out loud separates today’s video from last year’s.
Checks 5 to 7: reputation, money and technical depth
- Search the company name plus “scam”. Search the English name, the Chinese name and the email domain, each with words like scam, complaint and fraud. Ten minutes has saved a lot of deposits. Do this before the video call, not after, so you know what to ask about.
- Confirm the bank account is a company account. The account name must match the company name on the business licence exactly. A personal account, or a company in another province, is where you stop and ask questions.
- Test them with technical questions. Ask something specific: material grade, tolerance, carton dimensions, cycle time. A factory answers precisely. A reseller pretending to be a factory goes quiet or returns a day later with something vague.
Run the checks in order, and keep the file
Sequence matters, and so does what you keep afterwards.
Cheapest checks first
Do the licence, the credit code and the name match first, because they cost nothing and remove most time wasters in one afternoon. Only then spend real hours on video calls and technical questions.
One folder per supplier
Keep everything in one folder per supplier: the licence image, the code, screenshots of the chat where they confirmed the bank account name, and the walkthrough video. If something goes wrong six months later, that folder is your evidence. Documenting is the part of how to verify a Chinese supplier that buyers skip most often, then repeat from memory a year later with a different colleague.
Where verifying a supplier needs a person on the ground
Here is the limit of remote work. The checks above confirm that a company legally exists and behaves credibly. They cannot confirm capacity.
What a factory audit covers
A factory audit is the layer above. It covers what the licence permits versus what is actually built, how many production lines run and at what speed, real monthly capacity against the number quoted to you, which certifications exist as verifiable documents, and worker and site conditions.
Who runs the audit, and on what terms
Knowing what an audit covers is useful. Running one is different work: in Mandarin, on site, sometimes two hours outside Yiwu, and it needs someone who can tell a working line from a borrowed one. That is our job. Pioneer Group has an office in Yiwu and access to 5,000+ factories, and our quality inspection service runs three stages: raw material, in production and pre shipment, with photo and video reports. If you want how to verify a Chinese supplier handled by people standing inside the building, our Yiwu sourcing agent page explains the terms: commission of 3 to 5 percent depending on order quantity, no hidden markup on goods, minimum order value US$5,000.
Frequently asked questions
Can I verify a supplier without travelling to China?
Yes, up to a point. Every step in how to verify a Chinese supplier above is remote. For capacity and conditions you need eyes on site, which is where Pioneer Group sends someone for you.
Is a business licence enough on its own?
No. A licence proves registration, not production. Treat it as check one of seven in how to verify a Chinese supplier, never as the whole answer.
How long should verification take?
Two to three working days. If you want it faster, contact Pioneer Group: we reply within 2 hours during business hours, China time.
