Ordering product samples from China is the cheapest insurance an importer can buy, but only if you know which of the five sample types you are asking for and what each one actually proves. What a sample is really for
A sample is not a souvenir. It is the physical reference document for your order. Every argument you will have with a factory about colour, weight, thickness or packaging gets settled by comparing the goods against one approved unit and one written spec. Without that pair, a quality dispute is one opinion against another, and the factory already has your money.
The 5 types of product samples from China
- Stock sample. Whatever the supplier already has on the shelf. It proves the factory works in this category and shows general build quality. It does not prove they can make your version. Cheapest and fastest to get.
- Custom sample. Made to your spec: your colour, your size, your logo. This proves the factory can execute your changes, not just sell an existing item. It costs more, because someone sets up a small run for a single piece.
- Golden sample. The one unit you and the supplier both sign off as the standard. Ideally two identical units exist, one held by each side, sealed and labelled with a date. Everything produced later is judged against it.
- Pre-production sample. Made from the real bulk materials, on the real line, before mass production starts. It catches the gap between a handmade prototype and what the machines produce at volume.
- Shipment sample. Pulled from finished bulk stock before it leaves. It confirms the goods in the cartons match what you approved, including labels and retail packaging.
What product samples from China cost
Budget roughly US$50 to US$500 per sample, depending on the product and how much customisation you asked for. The number that surprises first-time buyers is the courier: express shipping one small box out of China often costs more than the sample inside it. That is normal, not a scam.
The sample fee is frequently credited against your first bulk order, and the way to get that is simply to ask before you pay. Put it in the message in plain words: sample fee deducted from the first order. Most suppliers agree, because the sample exists to win the order. Ask three suppliers at once rather than one at a time, since you learn more from the comparison than any single unit teaches.
What to check the day it lands
Weigh it and measure it against the written spec. Do not eyeball it. A missing gram or millimetre is where cost cutting hides. Then test it the way your customer will: wash it, drop it, plug it in, run it for an hour. Photograph everything, including the carton, the inner packaging and the labels, because packaging is part of the product. Finally, get the spec in writing before you approve anything: material, weight, dimensions, colour reference, packaging and carton markings. An approval based on “looks good” is not an approval.
