The Canton Fair invitation letter is the document first time buyers worry about most, and the one they most often misread. It is free, the fair’s own system produces it, and for a returning buyer it takes minutes. What it does not do is put you on a plane. This guide follows the official route: where you register, what the badge is, how the letter is generated, what documents you need, and the common mistakes.
What a Canton Fair invitation letter is, and what it is not
The China Import and Export Fair runs at the China Import and Export Fair Complex, No. 382 Yuejiang Zhong Road, Guangzhou, organised by the China Foreign Trade Centre. Like any large trade fair, entry runs on a badge. The invitation is a separate document with one job.
It supports a visa application, it is not a visa
You print the letter yourself and hand it to a Chinese embassy or consulate with your visa application. The consular officer decides. No invitation from any organiser obliges anyone to issue a visa. Buyers who treat the letter as the hard part and the visa as a formality have it backwards.
Some buyers do not need one at all
The Canton Fair Hong Kong Representative Office puts it plainly: the Canton Fair invitation letter exists so you can apply for a China visa, and if you do not need a visa, you do not need an invitation. Visa free travellers still pre-register and still need a badge.
5 steps to get your Canton Fair invitation letter
Everything runs through the official Buyer Service System at buyer.cantonfair.org.cn, which replaced the older Buyer E-Service Tool. Pre-registration for overseas buyers is open year round.
- Pre-register in the Buyer Service System. The badge and the letter both hang off that account, so open it first.
- Apply for the overseas buyer badge. A first time buyer joins or creates a company record, then uploads an ID image and a badge photo.
- Tick the box that generates the invitation with the same submission. It sits on the final screen of the badge application. Miss it and you go back for the letter later.
- Download and print it. The letter appears under Invitation Letter, then My Invitation Letters. Nothing is posted and nothing is paid.
- Book the visa appointment, then collect the badge on arrival, against your original identity document.
Returning buyers take a shorter path
If you have attended onsite before, you skip the badge application. Log in, open Invitation Letter, then My Invitation Letters, then Apply for Invitation Letter, check your details, and submit. The official guide states the letter is generated immediately.
Documents, cost and the limits nobody reads
Three things trip people up: which identity document counts, what this costs, and how often you may apply.

Badge collection needs an original identity document, not a scan: a foreign passport, or a Mainland Travel Permit for Hong Kong, Macao and Taiwan residents. Overseas Chinese need a Chinese passport plus an overseas residence permit or visa. Applicants under 18 cannot apply. There is a cap of five applications per session, and a successful new one voids the letter before it.
Name mismatches against the passport
The name on the letter, on the badge application and in your passport must match exactly. Given name and surname reversed, a middle name dropped, a spelling copied from your bank records: any of these can stall a visa file or hold you at a badge counter.
Applying late for the phase you actually need
The 140th session runs 15 October to 4 November 2026 in three five day phases. Phase 1, Advanced Manufacturing, is 15 to 19 October. Phase 2, Quality Home Living, is 23 to 27 October. Phase 3, Better Life, is 31 October to 4 November. The gaps are changeover days, officially time for booth dismantling and setup: halls shut to buyers on 20 to 22 and 28 to 30 October. No trip shorter than three weeks covers all three phases, so check which phase carries your category before booking flights, or compare the fair with a market that trades every working day.
Where this needs a person on the ground
A Canton Fair invitation letter takes you as far as the hall door. Past the turnstile the part that decides whether the trip pays for itself begins, and no registration system covers it. Where you go after the fair. Who meets you when you land. Who holds the cartons you committed to, checks that the third sample matches the first, and turns eleven suppliers into one container. Those are the things worth planning before you fly.

Does a Canton Fair invitation letter guarantee a Chinese visa?
No. It is a supporting document and nothing more. The embassy or consulate makes the decision.
What does a Canton Fair invitation letter cost?
Nothing. The Hong Kong Representative Office lists the charge as free of charge, and the badge is free for buyers who pre-register and collect it at an official office.
Can a sourcing agent apply for the letter for me?
No. It is tied to your own account, passport and badge photo, so you submit it yourself.
