Canton fair preparation is what separates a productive week in Guangzhou from a phone full of photos you cannot identify. Most first time buyers arrive with a vague list and cannot say afterwards which booth quoted which price. Here is what to finish first.

Nothing at the fair fixes a decision you failed to make at home. Exhibitors arrive ready. You are the one who needs specifications, quantities and a way to keep records straight. Prepared buyers compare offers. Unprepared buyers decide on their feet, and a vague question gets the cheapest assumptions: thinner material, plain packaging, no certificate.

What the fair actually is

The Canton Fair runs at the Canton Fair Complex in Pazhou, Guangzhou. It covers about 1.55 million square metres with over 30,000 exhibiting enterprises. It is a trade fair: exhibitors show, buyers negotiate, goods ship later.

The 140th session, dates and phases

The 140th session runs 15 October to 4 November 2026, in three phases of five days. Phase 1, 15 to 19 October, is Advanced Manufacturing: machinery, vehicles, electronics, appliances, lighting. Phase 2, 23 to 27 October, is Quality Home Living: ceramics, kitchenware, furniture, building materials, gifts. Good canton fair preparation is this list, finished early and not in the airport taxi.

  1. Register early. Badges and the invitation letter are free, and pre registration is open year round through the official Buyer Service System. Requirements differ between sessions, so check the official site and our invitation letter guide.
  2. Write a product brief. Material, size, packaging, certification and the quantity you will really order.
  3. Research target prices. Walk in with a number for each item, or a quote is just a number.
  4. Build a recording system. Decide before you go how every booth, quote and photo gets labelled.
  5. Decide sample handling. Know what you will carry, what you will courier and what you will refuse.
  6. Fix your budget. A total ceiling, a per supplier ceiling, and how deposits get paid.

A recording system that survives five days

Buyers come home with four hundred unlabelled photos and no idea which booth sold what. Use one rule: photograph the booth number board, then the product, then the price card. Every photo belongs to the last booth number in the roll, and each evening the booth, product, price and lead time go into a sheet.

What happens to samples

Turning a shopping list into a product brief

A brief is one page per product, and it is where most canton fair preparation lands. If it is not written down it is not a specification. Fill every row before you fly.

Where this needs a person on the ground

A reference price is not a marketplace listing. It is what a factory charges this month, for your specification, at your quantity, with your packaging.
