Canton Fair Follow Up: 6 Steps After the Fair

Pioneer Group meeting with a client at the Yiwu office

Canton fair follow up is where most buying trips are quietly lost. A buyer leaves Pazhou with a folder of cards and a phone full of stand photos. Weeks later a handful have written back, and none has priced the quantity wanted. This post covers one layer: turning cards into suppliers who answer and quote.

The honest answer about canton fair follow up

Exhibitors are not ignoring you on purpose. Their week, and what your message costs them, explains most of the silence.

Why most fair contacts go cold

The 140th session runs 15 October to 4 November 2026, three phases of five days each. A salesperson collects cards all day for five days, and yours was one of many. A trade fair is a volume channel for the seller.

Answering you costs that seller real work: a current factory price, a check on a mould, a lead time from production. They spend it on enquiries that look like orders. Canton fair follow up is the craft of making yours look like one.

Six steps for canton fair follow up after the fair

Run these in order. The first two decide the outcome.

  1. Sort within 48 hours. Card, stand photo and your note, filed together.
  2. Rank into three tiers. Candidates, maybes, polite cards. Tier one is written to this week.
  3. Send one specific message. One product, one quantity, one question.
  4. Attach the proof. Their stand, their product, your specification.
  5. Log replies on one sheet. The same columns for everyone.
  6. Chase twice, then stop. Two spaced reminders, then park it.

Sort the cards within 48 hours

Memory for stands decays fast. Two days out you know which ceramics supplier had the glaze you liked. A week later the names look near identical. Photograph each card, rename it with the company and booth number, and file the stand photos alongside.

The message that gets a reply

“Please send your catalogue and best price” is the message every exhibitor deletes. Write four parts instead: where you met, with the booth number from their card; the item and specification discussed; the quantity you intend to buy; one question. “Your price for 3,000 pieces of the 240ml double wall cup from your booth, EXW?” gets answered, because it answers in one line.

What to attach

Attach a photo of their stand, the product on their table, and the specification you wrote. Sellers recognise their own stand. If you took a sample, say which type: see the five types of product sample.

Reply timing and the comparison sheet

Expect slow answers while the halls are busy, then a burst after they empty.

Realistic reply timing

The three phases run 15 to 19 October, 23 to 27 October and 31 October to 4 November, with halls closed to buyers on the changeover days, 20 to 22 and 28 to 30 October. Message a Phase 1 contact on 21 October and they are packing down a stand, not in the office where the price lives. Firm numbers arrive after the session closes, so canton fair follow up starts fast and finishes slowly.

One sheet for every supplier

Quotes come back in different formats, currencies and terms, which is how a weak offer outranks a strong one. An EXW price and an FOB price are not the same number: the Incoterms rules set out who pays for what. Record every reply in the same columns.

Column What to record Why it matters
Company and booth English and Chinese name, booth number English names repeat. The booth proves where you met.
Item and specification Model, material, size, packing A price without a specification cannot be compared.
Quantity and price Unit price at your quantity, and the next break A price at a quantity you will not buy is no saving.
Terms and lead time EXW or FOB, port, production days Different terms, different deals.

When to stop chasing a silent contact

Chase twice. The first goes four working days later, short, the question repeated. The second a week after that, with a reason to answer now: a decision date, a loading date. Then stop. Silence at enquiry stage is information. Spend the time verifying the suppliers who did reply instead.

This article stops where the goods start. The pipeline from order confirmation through inspection, consolidation and freight is covered in what to do after the Canton Fair. The handover is the first real quote.

Where this needs a person on the ground

Canton fair follow up gets you as far as a warm contact holding your enquiry. One layer is missing on purpose: reaching the person who can price and commit, in Chinese, after the sales teams scatter back to their factories.

The person on the stand is often an export sales assistant, sometimes an agent for the factory. Whoever can confirm a price at your quantity, a mould charge or a lead time sits at the plant and does not read English email. That is a phone call in Mandarin, to a company whose licence you checked. We visit the fair as buyers, with no booth of our own, so for anything on the Guangzhou side, ask us.

Handing that calling to someone doing it daily is the job of a Yiwu sourcing agent in China.

Frequently asked questions

How soon should canton fair follow up start?
Sort cards within 48 hours and send tier one messages in the first week, while the session runs. Later messages queue behind earlier ones.

Should I write in English or Chinese?
English is fine for the first message: export sales staff read it. The person who sets the price often does not, which is where an agent such as Pioneer Group calls instead.

How many suppliers should I contact per product?
Three to five serious candidates on one sheet. Fewer leaves no price reference, more stops being followed up properly.

How Pioneer Group can help

We check the company behind each card and call the people who can quote, in Chinese, so you end up with comparable written prices, not a silent inbox.
