A first trip to Guangzhou is a budgeting problem before it is a sourcing problem. The canton fair trip cost is not one number. It is seven blocks falling due at different times, the last being the money behind you when a supplier asks for a deposit. This article prices each block.
What a canton fair trip cost really covers
Buyer badges and the invitation letter are free. Everything else comes from the ordinary travel market, at whatever it charges for your route and nights.
Why no honest article gives you a number
Travel costs change with your origin city, the season, booking date and party size. A figure built for a buyer flying from Dubai tells a buyer in Lagos nothing. A trade fair runs on a fixed calendar, which concentrates demand into a few known weeks.
The fair calendar sets your travel dates
The 140th session runs 15 October to 4 November 2026 at the Canton Fair Complex in Pazhou, Guangzhou, in three phases of five days each. Phase 1, 15 to 19 October, Advanced Manufacturing. Phase 2, 23 to 27 October, Quality Home Living. Phase 3, 31 October to 4 November, Better Life. Your phase decides your dates, and your dates decide most of the canton fair trip cost. Check what each phase covers.
Seven blocks inside a canton fair trip cost
Budget in blocks, not one lump sum. Each has its own driver, deadline and way of being quoted.
- Flights. Usually the largest line, driven by origin city, route and booking date. It can only be priced for your own journey.
- Accommodation. Driven by distance from the Canton Fair Complex in Pazhou, room type, group size and booking date. Quote your exact nights.
- Days on the ground. Every extra day is another room, more meals and more local travel.
- Local transport. Airport transfers and daily travel between hotel, halls and factory visits, multiplied by head count and days.
- Sample shipping. Samples have to reach you and hand luggage has limits. Budget courier charges and duty.
- Interpretation and support. An interpreter in the halls, or a local contact for the follow up, quoted by the day.
- Working capital. Travel is the cheap part. Deposits follow a good meeting quickly, and a buyer without money behind him loses the supplier.
Two ways to spend a changeover day
Halls are closed to buyers on 20 to 22 October and 28 to 30 October. You either fly home and come back, buying a second set of fares, or stay and use the days. Many buyers spend them in Yiwu, a separate market of 5 main districts and 75,000+ booths. Ask us about opening days before booking those nights, and read how buyers move to Yiwu.
What the fair does not charge you for
Buyer badges and the invitation letter are free, and pre-registration through the official Buyer Service System is open year round. Nobody needs to sell you access, so treat any offer to sell a badge as a warning sign. Requirements change between sessions: confirm current rules on the official Canton Fair site. Our note on the invitation letter explains it.
How to price each block yourself
Build the estimate in your own currency in one sitting, with a calendar open. It is the only honest route to a canton fair trip cost you can use.
| Cost block | What drives it | Where the figure comes from |
|---|---|---|
| Flights | Origin city, route, booking date | Your own route in fair week |
| Accommodation | Distance from Pazhou, booking date | Nightly rates for your dates |
| Days on the ground | Phase length, changeover days | Nights counted on a calendar |
| Local transport | Group size, hotel distance | Trips per day, at local fares |
| Sample shipping | Weight, volume, destination | A courier quote, one parcel |
| Support and interpreting | Days needed, language | A day rate, times days used |
| Working capital | Order size, deposit terms | Order value plus landed cost |
Quote every travel block twice
Price each line once for an ordinary week and once for your real dates. The gap is what the calendar costs you, and first time budgets miss it.
Count the money behind the trip
The travel budget and the order budget are two accounts, and only one keeps a supplier interested. Deposits, balances, freight and duty sit behind the trip. Our guide to landed cost from China lists those items, and the Incoterms rules set where responsibility changes hands.
Where this needs a person on the ground
Everything above is a travel budget. It does not tell you whether the trip pays for itself, the question that decides whether you go. That answer needs a landed cost view of the goods you intend to buy: factory price at your real quantity, packaging, freight, duty, and the price you can sell at. No canton fair trip cost sheet produces it. It needs this month’s quotations for your volume, from people who can walk into the factories. This article stops there, but it can still get you to the halls prepared, which is the job of the Canton Fair preparation checklist.
Frequently asked questions
How much should I budget for the fair?
No honest fixed answer exists: the largest blocks depend on your origin city and booking date. Price the seven blocks for your own dates, and distrust any single canton fair trip cost figure.
Do I have to pay for a badge or an invitation letter?
No. Buyer badges and the invitation letter are free, and pre-registration through the official Buyer Service System is open year round. Check the official site for current requirements.
Can I use the changeover days for Yiwu?
The halls are closed to buyers on 20 to 22 October and 28 to 30 October. Pioneer Group attends the fair as a visitor and works from an office in Yiwu, so ask us about the Yiwu side.
